Privacy Policy

This Privacy Policy explains what information RentFlow collects, how we use it, who we share it with, and the choices you have. RentFlow is a property-management software platform used by landlords and property management companies to run their businesses and communicate with tenants, owners, and vendors.
Information we collect
Account information. Name, email address, phone number, and company name you provide when you create or are invited to a RentFlow account.
Property and financial data. Information you upload or enter about properties, leases, payments, bank transactions, vendors, documents, and related records.
Communications. Messages you send or receive through RentFlow, support tickets, and related metadata (timestamps, IP address, device info).
Payment information. Payment details (card numbers, bank account numbers) are collected and stored by our payment processor, Stripe. RentFlow does not store full payment credentials.
Automatically collected. Cookies and server logs used for authentication, session management, and security.
How we use information
- Provide and operate the RentFlow service.
- Process rent payments, generate receipts, and perform accounting functions you request.
- Send transactional notifications by email, in-app notification, and — if you have opted in — SMS.
- Detect, prevent, and respond to fraud, abuse, and security incidents.
- Improve the service and develop new features.
- Comply with legal obligations.
How we share information
With your Sender organization. If you are a tenant, owner, or employee associated with a landlord or property management company using RentFlow, the information you provide is visible to that organization. That organization is the controller of your data for its own use.
Service providers. We share operational data with vendors who help us run the service: Stripe (payments), Twilio (SMS), Resend (email), Render (hosting), Cloudflare R2 (document storage), and Anthropic (AI features you enable). Each is bound by a data processing agreement.
Legal. We will disclose information when required by subpoena, court order, or applicable law, and when necessary to protect the rights, property, or safety of RentFlow, our users, or the public.
We do not sell personal information. We do not share phone numbers with third parties for their own marketing.
SMS notifications
SMS is opt-in. We only send SMS to phone numbers for which we have a recorded consent timestamp. Read the full notice at SMS Terms & Opt-In Notice. Reply STOP to any message to unsubscribe immediately.
Your choices
- Access and correction. Sign in to see and update your account information.
- SMS. Opt out any time by replying STOP or unchecking the consent box in Settings.
- Email notifications. Unsubscribe links are included in operational emails where it is lawful to do so.
- Deletion. Contact support@rentflow.app to request deletion of your personal account. Some records may be retained to satisfy legal or financial recordkeeping obligations.
Security
We use TLS in transit, encrypted storage at rest, and access controls on production systems. No method of transmission or storage is perfectly secure, but we work continuously to protect your information.
Children
RentFlow is not directed to children under 13 and we do not knowingly collect their information.
Changes
We will update this page when our practices change. Material changes will be notified by email or in-app notice prior to taking effect.
